1. Data controller
Richardt Ejendomme ApS, Danish company registration number (CVR) 45554465, is the data controller for the processing of personal data described on this page. You can contact us through the contact form, including if you have questions about our processing of your personal data or wish to exercise your rights.
2. Contact form
When you submit an enquiry, we process the information you enter, typically your name, email address, optional phone number, subject and message. If your enquiry concerns a specific property, we also record that information.
The purpose is to process and respond to your enquiry. Depending on its nature, processing is necessary either to take steps at your request before potentially entering into a contract or on the basis of our legitimate interest in responding to relevant enquiries.
Contact form submissions are sent to our shared ticket portal at portal.ra-it.dk, where they are registered and handled as cases. New contact form submissions are not stored in the website's local case database. Older enquiries may remain stored locally until deleted in accordance with applicable rules.
3. Interest list
When you join the interest list, we process your name, email address, optional phone number and the residential or commercial property preferences you provide. The purpose is to contact you when a property matching your preferences becomes available.
This processing is based on your consent. You may withdraw your consent at any time by contacting us. Withdrawal does not affect the lawfulness of processing carried out before your consent was withdrawn.
4. Property services
When you submit a property services enquiry, we process the information you enter, typically your name or company name, email address, optional phone number and address, as well as details of the requested work and date.
The purpose is to assess, process and respond to your enquiry and, where relevant, prepare a quotation or agreement. As a general rule, processing is necessary to take steps at your request before potentially entering into a contract.
5. Data minimisation and sensitive information
We only ask for information relevant to your specific enquiry. You should not enter your Danish CPR number, health information or other sensitive or confidential information in the website's free-text fields unless we have specifically requested it through an appropriate secure channel.
6. Retention and deletion
Closed historical contact enquiries in the website's local database and closed property service cases are generally deleted 365 days after their last update, unless the information is still needed for a contract, legal claim or legal obligation. Cases in the shared ticket portal are retained and deleted under the portal's separate rules.
Interest list information is retained while your registration is active, for no more than 365 days from registration. After that, the registration is automatically deleted unless a new registration has been made. If you withdraw your consent, we stop using your information for the interest list and delete it unless we have another lawful basis for retaining specific information.
Open enquiries and service cases older than 365 days are flagged for manual review; they are not automatically deleted while still open. If an enquiry leads to a customer relationship, relevant information may be processed in other systems and retained for longer where necessary for the contract, documentation, accounting or other legal obligations.
7. Recipients and data processors
Personal data may be processed by suppliers who assist us with operations, hosting, IT and security where necessary to provide their services to us. Where a supplier processes personal data on our behalf, that processing must be governed by applicable data protection rules.
We do not sell personal data or use information from the forms for third-party advertising.
The shared ticket portal at portal.ra-it.dk is used to receive and process contact form enquiries.
8. Cookies, local storage and tracking
The website does not use Google Analytics, Google Tag Manager, Meta/Facebook Pixel or comparable analytics and marketing tracking. We do not use non-essential cookies for analytics or marketing.
The website may use technically necessary session technologies for security and form protection. They are not used to track you across websites or for marketing.
9. Technical information and security
During ordinary website use, the web server may process technical information such as your IP address, the time, the page requested and browser information. Such information may be used for operation, troubleshooting and protection against misuse and security incidents, and is not retained longer than necessary for these purposes.
10. Your rights
Depending on the circumstances, data protection law gives you rights of access to the information we process about you, rectification of inaccurate information, erasure, restriction of processing, data portability and objection to certain processing. Where processing is based on consent, you may withdraw that consent.
Contact us through the contact form if you wish to exercise your rights.
11. Complaints
If you are dissatisfied with how we process your personal data, you can lodge a complaint with the Danish Data Protection Agency (Datatilsynet). We recommend contacting us first so we have an opportunity to investigate your enquiry.
12. Changes
We update this privacy policy if the website's functions or our processing of personal data change. The date at the top shows when the policy was last updated.
